AI Transparency

2025-12-12

1. Use of Artificial Intelligence

Our software includes features that are based on artificial intelligence (“AI”) systems within the meaning of the EU Artificial Intelligence Act (Regulation (EU) 2024/1689) (“AI Act”).

These AI-powered features are used to support users in tasks such as analysing, structuring, summarising, or generating content, as well as providing suggestions within the application.

The use of AI is limited to the functionalities expressly provided by the service.

2. Nature of the AI Features

The AI systems used in our service may, in particular:

  • generate or summarise text or other content,

  • analyse and structure data,

  • provide recommendations or suggestions based on the information supplied by users.

Outputs generated by AI are created automatically and may contain inaccuracies, omissions, or errors. AI-generated content does not constitute binding advice, guarantees, or decisions.

3. User Interaction and Transparency

Where users interact with AI-powered features or where content is generated by AI, this is made apparent to users, for example through feature descriptions, interface indicators, or contextual information.

Users remain responsible for reviewing and validating AI-generated outputs before relying on or using them further.

4. Roles and Responsibilities under the AI Act

Depending on the specific AI functionality, we act under the AI Act either:

  • as a provider, where we develop or make available AI systems, or

  • as a deployer, where AI systems are used as part of our service.

We ensure that all AI systems used within our service are operated in compliance with the applicable requirements of the AI Act.

5. No High-Risk or Prohibited AI Practices

Our AI features:

  • do not perform biometric identification of natural persons,

  • do not conduct emotion recognition or personality profiling,

  • do not make automated decisions that produce legal effects or similarly significant effects on individuals.

We do not use AI systems that are classified as prohibited or high-risk under the AI Act.

6. Data Protection and Safeguards

Any processing of personal data in connection with AI features is carried out in accordance with our Privacy Policy and applicable data protection laws, in particular the GDPR.

We implement appropriate technical and organisational measures to ensure the security, confidentiality, and integrity of processed data.

7. Third-Party AI Technologies

Where AI features rely on AI models or technologies provided by third parties, we ensure that such providers are contractually bound to comply with appropriate data protection, security, and regulatory standards.
